Engagement Period January 2018 – May 2019
The Challenge
Cloud21’s data migration expertise was sought by Great Ormond Street Hospital to lead on the migration of several legacy systems into their newly procured EPR system from Epic, one of the leading EPR suppliers in the US and internationally.
The project scope was ambitious as the Epic deployment approach is to go live with all modules at the same time. Cloud21 sourced data from multiple legacy systems including:
- PiMS (CSC iPM)
- JAC
- CareVue
- OmniLab
- InfoFlex
- GE RIS
- Tomcat
- Kainos EDM
- Trust Local Data Warehouse
- Trust Local Sleep Studies Database
The systems migrated covered a vast range of hospital areas including: PAS, LIMS, EPMA, RIS, CVIS, EDM as well as locally developed databases.
One of the biggest challenges was the migration of PAS activity, as Epic had limited experience with UK PAS migration. This resulted in Cloud21 working with Epic to develop a suitable method to programmatically migrate PAS data into the solution. Additionally, the Epic deployment model includes various data load methods depending on data type, requiring Cloud21 to be flexible in developing different output formats including flat files, XML and HL7 v2 messaging.
The Approach
Cloud21 provided a highly skilled data migration team with significant migration experience, including experience of first-of- type deployments. The Cloud21 approach, technical skills and in-depth deployment knowledge delivered a robust end to end migration service.
The Cloud21 team worked closely with the Epic and Trust EPR PAS, Clinical and Integration teams to develop a comprehensive, repeatable process for populating extracts and loading them into Epic.
Cloud21 deployed its IDS tool set to extract, transform and load the various legacy data sources and configuration data. IDS was also used to extract Epic Clarity (Information Analysis tables) tables to validate the migrated data as well as to produce build data quality reports to the programme.
For areas where a traditional file load mechanism for data migration was not available, Cloud21 sought the best alternative approach, be it through the means of Robotic Process Automation software e.g. Blue Prism or producing detailed reports for manual data entry.
How did our work deliver value to the Client?
The Cloud21 team de-risked a high- risk area of the programme by managing and taking ownership of the data migration. Cloud21 delivered a complex but successful migration within the agreed original timescales.
Cloud21 enabled GOSH to perform a soft go live 7 weeks before the actual cutover date to enable manual data entry and to provide time for clinical loads to enrich the patients chart prior to go live, this was achieved through HL7 messaging and several delta updates to PAS activity.
Cloud21 also supported other work streams in data extracts, configuration audits and DQ reporting to help improve the Epic build across multiple areas of the EPR deployment.
