Engagement Period February 2015 – July 2016
The Challenge
Yeovil District Hospital had attempted to implement Cerner Millennium some years previously but opted to continue using HP Swift PAS until the SmartCare programme procured InterSystems TrakCare in early 2015.
YDH were keen to make the TrakCare implementation a success. Having worked with Swift PAS for 28 years, the YDH user community were sceptical and resistant to change. YDH engaged with Cloud21 to provide an experienced deployment team to deliver the end to end implementation on their behalf.
Working alongside Trust and Supplier colleagues, the Cloud21 team were tasked with the configuration, build and deployment of a range of modules including ED, PAS (OP and IP) and Maternity, as well as delivering the associated business change and process mapping to enable efficient use of the new system.
The culture change associated with implementing a new EPR system required strong stakeholder engagement and communications, combined with a careful plan for delivery and risk management.
The Approach
Cloud21 provided a deployment team comprising of:
- Outpatient Business Analyst and Workstream Lead
- Inpatient Business Analyst and Workstream Lead
- ED/Maternity/RTT Business Analyst
- Build and Configuration resource
- Test Lead
The team performed the following activities:
- OP/IP/ED Maternity build and configuration
- Clinic and Letters build
- Training delivery
- Testing
- Future state process mapping
- Advice to Cutover manager and head of Operational Resilience
- Go-live support
- Post go live optimisation
Cloud21 provided the workstream leadership and drive to deliver this complex project. Reporting to the Chief IT Officer, a good working partnership was formed with the Trust and supplier alike.
With expert knowledge of supplier methodology the team were able to assist the Trust in developing successful change request specifications. These change requests will also be incorporated into the English Edition of TrakCare.
How did our work deliver value to the Client?
Yeovil is the second trust in England to go-live with TrakCare, after North Tees and Hartlepool NHS Foundation Trust and is the first Trust in the SmartCare project to go live.
The Cloud21 team successfully managed all project deliverables and deployed the InterSystems TrakCare EPR with no significant issues or impact to business as usual activities.
Following implementation the team also assisted with post go-live optimisation to reflect changes in business processes during the programme and to ensure effective utilisation of the system.
